The text message that saves a missed call

What to put in the text you send after a missed call, eight templates by trade to copy, and how to make it happen automatically on WhatsApp without breaking the rules on who a business is allowed to message.

A missed call doesn’t ring back

Someone rings a clinic to book and nobody picks up. They don’t try again in an hour. They look up the next clinic on the map and ring that one. The business next door isn’t better than you, it just answered.

And it doesn’t show. A missed call never appears in the takings or the month-end figures. It only shows up if you count it, and a text sent straight after the call gives you a chance to get it back before they dial someone else.

Count yours first

It takes a week and no tools. Each evening, open the business phone’s call log, count the missed calls and note the times. Take off the ones who rang back or wrote later: the rest are the calls you really lost.

To put a value on them, multiply lost calls a week by four, by the share that were about booking, and by what an average booking is worth to you. With made-up but modest numbers (10 lost calls a week, 6 in 10 about booking, £45 a booking) that is 10 × 4 × 0.6 × £45 = £1,080 a month. It is an estimate, but it is yours, and it is usually enough to decide.

What the text should say

Three rules, the same ones that make a good voicemail greeting:

  1. Who you are, in the first words. A text from an unknown number that doesn’t say who it is looks like spam.
  2. What they can do right now. ‘Reply with the service and a day and we’ll offer you a time’ beats ‘we’re busy’.
  3. Only promises you keep. ‘We’ll call you before 18:00’ only if someone will.

And keep it a reply, not an advert. The UK regulator, the ICO, says routine customer service messages don’t count as direct marketing, but a message with significant promotional material does, and then the marketing rules apply. No offers, no discount codes.

Eight templates by trade

Adapt them to your hours and the way you talk. The businesses are fictional.

Dental practice

Hi, this is Clínica Alameda. Sorry we missed your call, we’re with a patient. Reply here with what you need and the days that suit you, and we’ll offer you a time. If you’re in pain, say so and we’ll ring you first.

Hair salon

Hi, it’s Estudio Ribera. We missed your call because our hands were full. Tell us the service and the day you’d like, and we’ll send you two times to choose from.

Beauty salon

Hi, this is Estudio Marea. Sorry we couldn’t pick up. To book, reply with the treatment and a day that suits you, and we’ll confirm it here.

Physiotherapy clinic

Hi, this is Fisio Centro. We’re in a session and missed your call. Reply saying whether it’s a first visit or a follow-up, and whether mornings or afternoons suit you, and we’ll offer you a time.

Garage

Hi, it’s Taller Sierra. We were under a car when you rang. Reply with the car, the job (MOT, service or repair) and when you could drop it off, and we’ll confirm before 18:00.

Restaurant

Hi, this is Casa Mar. We’re in the middle of service and couldn’t answer. To book a table, reply with the day, the time and how many of you, and we’ll confirm here.

Private tutor

Hi, it’s Lucía, the maths tutor. I’m in a lesson until 20:00. Reply with your child’s school year and the days that work, and I’ll send you the free slots tonight.

Electrician or plumber

Hi, it’s Andrés, the electrician. I’m on a job and couldn’t answer. Send me your postcode and a line about the problem (a photo helps), and I’ll reply by 18:00 with when I can come.

How to send it automatically

There are three ways, and they don’t fit every business equally.

1. Send the caller to WhatsApp, and let the app reply

The WhatsApp Business app answers messages, not phone calls: its automatic replies go out when someone writes to you. So point callers there. Your voicemail greeting says ‘message us on WhatsApp on this number’, and when they do, the greeting message goes out on its own to anyone writing for the first time, with the away message covering your closed hours. The customer wrote first, so there is no question of permission, and it costs nothing. How to write both is in WhatsApp Business auto reply.

2. An automatic text from your phone system

Some cloud phone systems and call-handling apps can send an SMS when a call goes unanswered. Ask your provider whether yours does and what each text costs, then paste in the template for your trade.

3. A WhatsApp message through the Platform

Software connected to the WhatsApp Business Platform can spot the missed call and send an approved WhatsApp template to that number. There are two catches. Meta’s Business Messaging Policy only lets a business start a conversation with someone who has given it their number and agreed to receive its messages, and a missed call on its own is not that agreement. So this route only suits customers who have already said yes, such as patients who agreed to WhatsApp reminders. And each template is paid: a utility message to a UK number cost £0.0159 on the official calculator on 23 September 2026, and a business in Spain pays that UK rate when it writes to UK customers.

Or don’t miss the call

A good text wins back some of the calls. Answering wins back more. A voice assistant picks up when you can’t, says in its first sentence that it is an AI (EU law requires it, AI Act art. 50) and that the call is recorded, books into your diary and sends the confirmation by WhatsApp. It isn’t for everyone: below ten or fifteen calls a day, the text and a WhatsApp you answer promptly will do.

That is what Conserjía’s voice assistant does, on a conditional divert from your existing number. The voice assistant page explains when it answers, what it says and what it doesn’t do.
