WhatsApp vs WhatsApp Business: what actually changes
They are two separate apps from the same company. What really changes for a business, how to switch without losing your chats, how to switch back, and when neither of them is enough.
Two apps, the same chat for the customer
WhatsApp (the ordinary one, which the help centre calls ‘WhatsApp Messenger’) and WhatsApp Business are two separate apps from Meta. The person messaging you can’t tell the difference: they use their usual WhatsApp and the conversation looks the same. The difference is on your side, plus one detail the customer does see: your profile says it is a business account.
Two rules are worth knowing before you touch anything, and both come from WhatsApp’s help centre:
- A number can only be in one of the two apps at a time. If you want both on the same phone, each needs its own number.
- You can move between them in both directions. The switch isn’t permanent.
What WhatsApp Business has and the other doesn’t
Chats, calls, groups, status updates, broadcast lists and WhatsApp Web are in both. The business app adds what a private person doesn’t need:
- Business profile. Address, opening hours, category, description, website and email. It is the first thing a new customer sees.
- Catalogue. Your products or services with photos, price and description, sendable inside any chat. We cover it in the WhatsApp Business catalogue, done properly.
- Labels. Up to 20, according to the help centre, to sort chats: ‘deposit pending’, ‘booked’, ‘quote sent’. WhatsApp is gradually renaming them ‘lists’.
- Quick replies and automatic messages. Shortcuts with ‘/’ for whatever you type twenty times a day, plus the greeting and away messages.
- Business broadcasts. Paid promotional sends that Meta reviews before they go out. They only exist in the business app and, for now, only in some countries.
Everything else in the business app is free. If you want the detail of what is paid and what isn’t, it is in how much WhatsApp Business costs.
When ordinary WhatsApp is enough
If you work for yourself, four customers who already know you message you, and the number is also your family’s, ordinary WhatsApp will do. Switching that number to Business means your mum sees your business profile.
Can you use WhatsApp Business for personal use? Technically yes, it does everything the ordinary app does, but the help centre says that if you are not a business there is no need for it. The day customers who don’t know you start using the number, switching pays off: the hours and address on the profile save a lot of ‘are you open today?’, and labels and quick replies start saving time in the first week.
How to switch from WhatsApp to WhatsApp Business without losing your chats
These are the steps in the help centre for Android; on iPhone the same page has its own version with the iOS menus:
- Back up your chats in WhatsApp. The help centre recommends it before you start, and it is your safety net.
- Save your contacts to the phone’s address book. ‘WhatsApp contacts’, the ones that only exist inside the app, aren’t supported in Business yet and are lost when you switch. In WhatsApp’s settings you can choose to save them all to the address book.
- Update WhatsApp and install WhatsApp Business.
- Open WhatsApp Business, accept the terms and pick your number: the app detects the one you use in WhatsApp.
- Tap ‘Continue’ and ‘Allow’ so the app can access your chat history and media. That is the step that brings your conversations across.
- Verify the number with the six-digit code sent by text, and create your business profile.
From then on that number no longer works in the ordinary app. For a personal WhatsApp, use another number: both apps can live on the same phone (more in which number to use for WhatsApp Business).
How to switch back to ordinary WhatsApp
That is possible too, and the help centre explains it like this on Android:
- Back up in WhatsApp Business. On Android, the help centre asks for the backup to go to your Google Account before moving.
- Install WhatsApp and enter the same number.
- Verify it by call or by text.
- Tap ‘Restore’ when the app finds the WhatsApp Business backup.
What doesn’t come back is whatever only exists in the business app. The help centre is clear: WhatsApp Business features don’t move to WhatsApp Messenger, and data tied to them, such as catalogue items and collections, isn’t transferred. If you have put work into a catalogue, save the photos and texts first.
When neither is enough
Both are apps built for one person with one phone. They always fall short in the same places:
- Several people answering. In the free app, everyone shares one inbox: two people reply to the same customer, or nobody does. Assigning chats is a paid extra.
- Replying to what the customer actually asks. The built-in greeting and away messages don’t understand what they are sent. Meta’s own AI agent is starting to change that for select businesses, with its own trade-offs, covered in WhatsApp Business auto reply.
- Booking into the real diary and taking the deposit in the chat. It still means checking the diary elsewhere, typing the time by hand and checking whether the bank transfer arrived.
- Messages that go out on their own. Reminders the day before, ‘your car is ready’, a change of hours for everyone booked in.
That is what the WhatsApp Business Platform, the API, is for. There is nothing to install: it is your number connected to software, set up by a provider or a developer, and Meta charges for some messages.
Connecting a number to the Platform has its own conditions. Meta lets some providers connect it while you keep using the app on that number (in the industry this is called ‘coexistence’): what you send from the app stays free, but some features switch off, such as broadcast lists, according to its documentation. Other providers, like Conserjía’s current sign-up, ask for a number that isn’t in use in the app.
What to do now
If you still answer customers from your personal WhatsApp, switch to Business with the steps above: it is free and reversible. If you already use Business and recognise yourself in the list above, the next step is an assistant on the Platform that answers, books into your diary and passes the chat to a person when the customer asks. That is what Conserjía does, and in the demo we look at it with your own conversations. And if you want to go over what the app includes and where it falls short first, carry on with what WhatsApp Business is.
